Administrative & HR Assistant

About the role
This is an exciting opportunity for a talented Admin-focused professional, who is looking for their next challenge in a fast paced and high growth tech scale-up!
Our business and team are growing extremely quickly and we’re looking for someone to help taking our Admin operations to the next level. That means managing accounting, admin operations, sales and HR administration.
You will be responsible for
  • Assist in the preparation of accounting documents
  • Own the Collection, processing and filing of administrative documents
  • Manage sales administration, invoicing and quotations
  • Manage day-to-day office operations
  • Maintain an orderly, safe, and healthy work environment by establishing, following and enforcing standards and procedures
  • Manage team expense reporting, guest tracking, merchandise ordering & stocking
  • Responsible for ordering office supplies, managing food ordering, weekly team meals, and deliveries, receiving & tracking inbound/outbound mail and packages, etc.
  • Partner with HR teams to assist with phone screenings, onsite coordination of interviews, onboarding of new hires and coordinating employee activities
  • Partner with Sales teams to assist with phone qualifications and preparation of sales related documents (e.g., invoices) 
  • Assist organization of  events e.g., town halls, recruiting events, annual trips, holiday party
Your qualifications
  • Bachelor’s degree or equivalent experience
  • 3+ years experience in office coordinator, administrative assistant, HR assistant or receptionist role
  • Experience supporting teams and peers in a fast-paced environment
  • Strong written and oral communication skills
  • Strong interpersonal, customer service and communication skills
  • Experienced in Excel, Word and familiar with web management tools
  • Comfortable with numbers
  • Ability to handle physical tasks as needed
  • Ability to take initiative, and prioritize and multitask
